Now that your account is created, you might wonder how to record your initial transactions quickly and accurately.

In this article, we focus on tools designed for speed and reliability: Quick action buttons and contextual assistance. No complicated formulas or lengthy forms — just straightforward buttons and instant guidance whenever needed.

The power of quick action buttons

When you log in for the first time, six action buttons appear on your main screen:

  • Collection (receipt) — Money received (such as a customer payment)
  • Payment — Money paid out (to suppliers or vendors)
  • Debt — Receivables owed to you or payables you owe
  • Loan — Money borrowed or loaned
  • Expense — Direct operational costs (rent, utilities, etc.)
  • Capital — Capital injections or owner withdrawals

These buttons are designed as smart shortcuts. Tapping one opens a modal containing only the required fields (amount, counterparty or description, cashbox, and project if applicable) — allowing immediate entry without waiting or typing full sentences. Buttons with directional choices (Debt, Loan, Capital) prompt you for direction (receivable vs payable, borrowing vs lending, deposit vs withdrawal) before launching the input form.

Crucially: You are never required to use these buttons. You can always type directly in natural language: "Sold to Ahmed 1000", "Received 500 from client", or "Paid rent 3000" — Qayd processes your entry seamlessly either way.

Buttons accelerate routine entry; they never limit your flexibility.

Step by step: entering your transactions

Now it's your turn. Open app.qaydai.app and follow these steps:

Step 1: Choose a transaction type

Upon opening the dashboard, select one of the six quick buttons. For example, if you collected cash from a customer:

  • Click "Collection"
  • A modal opens requesting: Client name, Amount, and Cashbox

Do not worry about selecting incorrectly — every detail remains editable later.

Step 2: Or write in natural language

Instead of buttons, you can type as you speak:

"Sold goods to Ahmed for 2,000"

Or:

"Received 3,000 cash from corporate client"

Or simply:

"Sale 1,500"

Qayd understands all these formats. Use whichever style feels most natural to you.

Step 3: Request help (if unsure)

Before confirming your entry, click "?" or "Get help".

Qayd will display:

  • What it understood from your sentence
  • Which accounts will be debited and credited
  • The exact double-entry accounting structure
  • The resulting cash balance

If correct, proceed. If anything needs adjustment, edit your text and recheck.

Step 4: Confirm or edit

When the parsed result appears:

  • If correct: Click "Confirm" or "Save"
  • If incorrect: Click "Edit" and refine your sentence
  • To discard: Click "Cancel" and no data will be stored

No transaction becomes permanent until you explicitly approve it.

The contextual help system

Help in Qayd is not a generic static user manual — it is tailored to your active sentence in real time.

When you ask a direct question or request help, Qayd explains in clear language what it parsed from your input, detailing which ledger accounts are impacted.

If an input is ambiguous (such as an unknown contact or unspecified cash account), Qayd avoids guessing — it asks a clarifying question before posting, protecting your books from errors.

Tip: Questions build accuracy

Asking for help or double-checking entries is standard practice. Even experienced accountants verify new transaction types. Getting confirmation ensures clean records.

Common transaction patterns

After recording 5 to 6 transactions, recurring patterns emerge. Here are the most common:

Cash sale

"Sold 1,000 cash"

Qayd posts: Revenue +1,000, Cash +1,000.

Credit sale

"Sold to Ahmed 2,000 on credit"

Qayd posts: Revenue +2,000, Accounts Receivable (Ahmed) +2,000.

Cash expense

"Paid rent 5,000 cash"

Qayd posts: Rent Expense +5,000, Cash -5,000.

Credit purchase from vendor

"Bought inventory from Ali 3,000 on credit"

Do I have to record transactions using one exact phrasing?

No. You can write in your own natural phrasing every time or use the quick action buttons to skip typing altogether. You are always in control.

Yes, absolutely. The buttons are prominent and easy to tap. Most users prefer mobile entry because of its speed.

If Qayd misunderstands my entry, can I undo it?
